Before you start
You need two things in place before this runs, and neither is something you do in the moment. Your firm Gmail has to be the inbox the appointment notices land in, and your Google Workspace has to be connected, because that is where the contacts, the Drive folders, and the calendar all live. 1. The appointment notice lands in the inbox
A Bexar County appointment notice arrives, the kind sent by the county or the Tyler court system, and a watcher recognizes it for what it is. You do not have to open it or forward it anywhere. The system reads the facts straight out of the message: the defendant identity, the date of birth, the SID and booking number, the cause number, the charge, the court, and the hearing data. 2. The contact and the matter open themselves
From what the email holds, the board creates the contact and opens the matter. If this person already sits on another of your boards, the board reuses that contact rather than spawning a duplicate, so one client with three cases is one person with three matters. The matter record fills with the charge, the court, the judge, and the hearing data the email carried. You did not retype a name into a sixth form. The matter is standing up.
3. The Drive folder tree gets laid down underneath
With the matter open, the board builds the folder tree in your Google Drive: the client folder, then the matter folder beneath it, then the standard subfolders for evidence and casework. It writes the Drive links and folder IDs back onto the matter so the board and the Drive point at each other. The spec is preserve-first, so it never overwrites what is already there, and it keys folders by exact cause number, so a client with multiple matters gets clean, non-colliding folders instead of one drawer everything falls into.
4. The hearing goes on the calendar when the date is authoritative
If the appointment notice carries a real date and time, the board writes one hearing onto the matter and the synced calendar. If the date is missing or the notice is generic, the board does not guess one onto your week. It opens a review task instead and tells you plainly what it could not confirm, because a guessed court date is worse than no date at all. The board prefers truth over speed, every time.
5. The evidence task and the audit report open behind it
The board opens a legal-assistant evidence-review task and writes an audit report, so the next stage of the case has somewhere to land. 6. You review what was built, and your hand goes on the record
Here is the line the whole board runs on. The system read the email, built the matter, laid the folders, and set the calendar, and then it stopped. Now you open the matter and check it against the notice: the right client, the right cause number, the right court. A backstop sweep runs every few minutes to recover any intake that came up short, so a stalled run gets a second pass rather than a silent gap. But the matter does not become real to the case until you have looked at it. The machine assembles. The lawyer reviews and decides.
