A short, open-book check on how a matter opens, what the cause number does, how the calendar keeps itself honest, how privilege is stored, and where the conflict check stops and you begin.
Matters and the cause number
Q: What single thing does the Case Board read to build a whole matter, without you typing it?
A: A Bexar County appointment notice from the county or the Tyler court system. The board reads the defendant identity, date of birth, SID and booking number, cause number, charge, court, and hearing data straight out of that one email, and stands the matter up from it.
Q: You type the cause number once at intake. Where does it show up later?
A: Everywhere the matter goes. The same cause number prints on the Article 39.14 discovery demand the Issue Spotter drafts weeks later, names the Drive folders, and tracks the voucher. It is typed once and reused, so there is no retyping at midnight before a filing and no two surfaces using different numbers.
Q: A client you already represent picks up a second case. Does the board make a second contact?
A: No. The board reuses the existing contact and opens a second matter under it, keyed by the exact cause number. One person with two cases is one contact with two matters, not two half-built strangers, and the folders stay separate and non-colliding.
The calendar and resets
Q: A case gets reset in the hallway and you are three courtrooms away. How do you move the date?
A: You text it. Send a trusted same-day note from your own thread in the shape the board expects, a last name and a date, or an out-of-court reset command with the cause number and the new month and day. The board creates the new hearing and preserves the old setting in the matter’s history.
Q: A coordinator email speaks in relative dates and the board cannot pin one cause number to it. What does it do?
A: It opens a review task rather than guessing an event onto your week. The calendar prefers truth over speed: authoritative dates become hearings, ambiguous ones become tasks for you to resolve, because a guessed court date is worse than no date at all.
Privilege and conflicts
Q: Work product, client communications, and raw discovery all arrive for one matter. Do they sit in the same pile?
A: No. The folder tree keeps them in their lanes, privileged casework and evidence each in their own place, with the matter always the container and the sender only metadata. Different people emailing about one case never spawn separate top-level folders, so when a judge or the State asks how the file was kept, the answer is a structure, not a shrug.
Q: The board runs a conflict check on a new client and surfaces a name. Does it decide the conflict for you?
A: No, and that is the rule the whole board runs on. The conflict check is advisory: it checks every new client and matter against everyone already on your boards and tells you plainly, clear or a name to look at. It makes sure you saw the name before you announced ready. You decide what it means, because that judgment belongs to a lawyer and not to a machine.
