The Run of Show is the day, written down before the day happens
The minute-by-minute spine that runs a CLE or a bar-section event: cues, speakers, room flips, and the one screen that always knows where the event is supposed to be.
What a run of show actually is
A run of show is the live call sheet. Not the agenda the attendees see, the working one the chair reads from. Every session, every speaker swap, every break, every room flip, in order, each line carrying the start time and the room it happens in. The agenda tells a defense-bar audience that the discovery panel is “mid-morning.” The run of show tells you the panel starts at 10:15 in the Mission Room, the moderator is miked at 10:12, and the keynote tear-down in the next room begins the same minute. One is a promise. The other is the plan.
It is the same instinct as the timeline on a Case Board matter. A conference, like a matter, is a sequence of dates and rooms, and the way a chair gets hurt is by missing one. The run of show is the screen that holds the whole event in order, so the person running the room is never the bottleneck.
It builds from the event record, not a blank page
You do not write the run of show from scratch. It builds from the event record you already entered, the dates, the venue or Zoom room, the speakers, the sessions, the schedule. Enter a speaker once at intake and that speaker is on the run of show, on the livestream lower-third, and on the registration page, without being typed four times. The schedule fills the spine; you arrange the cues on top of it.
That single-source rule is the whole reason the run of show stays true. The parts of an event that drift are the ones entered separately. Here the program and the call sheet read from one record, so when a session moves, it moves everywhere at once and the run of show does not quietly fall out of step with the printed agenda.
Cues, speakers, and the live call sheet
On the morning of, you open the run of show on a tablet at the back of the room and walk down it. This panel starts. That speaker is on deck. The next room flips in ten minutes. Each line is a cue you can see coming before it arrives, so the transition that usually scrambles a volunteer crew, the moderator who needs a mic, the slides that need to switch, the next session loading in, is a line you already read two lines ago.
For an event a single person is chairing, this is the difference between running the room and being run by it. The run of show does not replace the chair’s judgment about when to let a good panel run long. It just makes sure the cost of that decision, the luncheon that now starts ten minutes late, is visible on the screen instead of a surprise at the door.
Run of show is live, the worksheets are before
Worth saying plainly, because the Hub draws the line on purpose: the planning worksheets are pre-production and the run of show is the live document. The speaker bios, the AV notes, the room maps, those get built in the days before. The run of show is the thing you actually hold during the event, the one screen meant to be open while the room is full. Build the event record and the worksheets ahead of time, and the run of show is what that preparation turns into on the day itself.
It is the next page over from where the event was planned, on the same machine that runs the casework, so the chair who built the conference is the chair who runs it, from one place.
