A matter is not five fields
Open most software and a “case” is a thin thing: a name, a number, a date, a status, a note. That is enough to know a case exists. It is nowhere near enough to defend one. A criminal matter is the client and the family member who actually answers the phone, the bond status, the SID and booking number, the charge and the court and the judge, every hearing and every reset with its history, the Drive links, the evidence inventory, the voucher hours billed and the flat-fee events claimed. A real defense loses ground one forgotten fact at a time, and ground lost that way does not always come back.
So the Case Board carries a matter record with hundreds of fields, because the case has hundreds of facts. The depth is not clutter. It is the difference between a folder named after a cause number and a record that actually holds the case. When you need the booking number at the jail-visit desk or the SID for the discovery demand, it is already on the record, because it was read off the appointment email the day the matter opened.
The cause number, typed once
Here is the single fact that does the most work on the whole record: the cause number. In the stitched-together stack a defender usually runs, that number gets typed again and again, into the practice-management tool, the calendar entry, the evidence folder, the motion caption, the voucher form, each time another chance to fat-finger a digit and orphan a document from its own case. On the Case Board you type it once, at intake, and it never gets typed again.
From that one entry it flows everywhere. It names the Google Drive folder tree the board lays down, separated by exact cause number so a client with three matters gets three clean, non-colliding folders. It fills the caption on the Article 39.14 discovery demand and the motion to suppress when the Issue Spotter drafts them. It keys the voucher to the right matter and the Axon evidence to the right folder. The number you typed at the first hour is the number on the last document the matter ever produces, and you never retyped it at midnight before a filing.
The record fills itself from the appointment email
You do not key those hundreds of fields by hand. When a Bexar County appointment notice lands, the kind sent by the county or the Tyler court system, the board reads the facts straight out of the message: the defendant identity, the date of birth, the SID and booking number, the cause number, the charge, the court, and the hearing data. The matter record stands up populated, and the first thing you do is review what was built rather than build it.
If the client already exists on another of your boards, the record reuses that contact instead of spawning a duplicate, so one person with three cases is one person with three matters and not three half-built strangers. The matter record is the single source of truth that sits in the middle of the firm. It does not replace the Google Workspace where your files, contacts, calendar, and phone already live, and it does not replace the LawPay and QuickBooks where the money lands. It sits between them and runs the matter, feeding the bookends instead of fighting them. When the Issue Spotter drafts, it pulls from this record. When the voucher comes due, the hours are already on it. When the calendar audits against the county’s portal, it checks this record’s hearings.
That is what a deep record buys a defender: every document the matter produces is built from one true set of facts, entered once, kept in one place. The cause number is right because you typed it right one time. The caption is right because the record holds the court and the judge. The voucher is right because the hours were logged against the matter as you worked it.
