Before you start

You need one thing to make sense of the rest: the app is a front desk, not a robot logged into your accounts. When you ask The IMC Machine to run, it writes a work order to a queue. A worker on the firm’s own Mac picks the order up about once a minute, runs the automation, and posts the result back to the page. So what you are about to watch is real county mail becoming a real matter, with a job already in line reused rather than run twice, so nothing logs in behind your back and nothing collides on the same connected account.

1. The appointment email lands and the watcher recognizes it

2. The watcher reads the facts out of the email

The lane reads the defendant identity, the date of birth, the SID and booking number, the cause number, the charge, the court, and the hearing data, all of it out of that one email. Nothing is typed by a person. The email carried the case, and the watcher is unpacking it.

This is the hour of midnight typing that used to stand between you and the file, done before you sat down. The facts are parsed, and the next step builds the record from them.

3. The contact and the matter open themselves

From what the email holds, the lane creates or reuses the contact and opens the matter. If the client already exists on another of your boards, it reuses that contact instead of spawning a duplicate, so one person with three cases is one person with three matters and not three half-built strangers. When an authoritative date and time are present, it writes the hearing event onto the matter then and there.

The matter is standing up. The first thing you will do with it is review what was built, not build it.

4. The Drive folder tree gets laid down underneath

With the matter open, the Drive filing step builds the folder tree in the firm’s Google Drive: the client folder, then the matter folder beneath it, then the standard subfolders for evidence and casework. Then it writes the Drive links and folder IDs back onto the matter, so the board and the Drive point at each other and neither one drifts. The folder spec is preserve-first, so it never overwrites what is already there, and it separates folders by exact cause number, so a client with multiple matters gets clean, non-colliding folders.

This is the container the discovery will land in later. The matter built it before the evidence arrived, which is why the Evidence Orchestrator knows exactly where to put the body-cam video when it comes.

5. The downstream tasks open, and a backstop watches the chain

The lane opens a legal-assistant evidence-review task and writes an audit report, so the next step has somewhere to land and the run leaves a trace of what it did. Behind it, a backstop sweep runs every few minutes, rechecking recent appointment emails that came up short and recovering any intake run that stalled, so a single hiccup does not lose a case quietly.

This is the system showing its work as it goes. The evidence task is the handoff to the Orchestrator; the audit report is the receipt.

6. You review the built matter, and your hand goes on the record

Now the chain stops at the line where a lawyer has to think. The matter is built, the folders are laid, the hearing is on the calendar when the date was authoritative, but nothing has left the building and nothing has been decided. You open the matter and review it: the parsed identity against the email, the cause number against the notice, the conflict check the board ran as advisory, clear or a name to look at.

That review is the point of the whole chain. The machine read the email and assembled the case so that the first thing you spend a lawyer’s attention on is the case itself, not the data entry. You decide what the conflict means. You decide the matter is right. The system never crosses that line on its own.

One appointment email, untouched by hand, has become a matter on the Case Board with the client and cause number pinned, the client saved as a contact, a hearing on the calendar where the date was authoritative, a Drive folder tree linked both ways, an evidence-review task waiting, and an audit report on file. A backstop is watching in case the run stalls. And the matter is sitting in front of you for review, which is where every chain in this system ends.
